Financial Assistant

Position:  Financial Assistant

Hours of Work:  Monday to Friday, 8:30 a.m. to 4:30 p.m. 

SUMMARY:

Reporting to the Director of Corporate Services, the Financial Assistant is responsible for providing a high level of support in various financial functions for the Town of Barrhead, along with maintaining the Payroll, Benefits and Human Resources systems.  This employee will be a self-motivated individual with outstanding organizational skills, with the ability to prioritize, handle multiple projects and complete tasks with various deadlines with exceptional accuracy.

DUTIES AND RESPONSIBILITIES:

  • Assisting with all aspects of financial duties, including but not limited to annual budgeting, year end reporting, grant applications, maintenance of financial system, monthly bank reconciliation, department reports and financial statements.
  • Processing bi-weekly payroll for all Town of Barrhead employees, monthly payroll for Town Council members and monthly payroll for Fire Department.
  • Processing annual payroll requirements such as T4’s, Local Authorities Pension Plan and Workers’ Compensation Board Year End reporting
  • Maintaining the full Employee Benefits system and the Local Authorities Pension Plan Records.
  • Maintaining the Town’s insurance system, including claims submission and documentation for liability, auto, property and equipment.
  • Submitting quarterly GST remittances.
  • Data entry in financial systems including general ledger, property taxes, utilities and receivables.
  • General office duties which may include composing correspondence, answering phones, keyboarding, filing, photocopying and customer service.
  • Assisting with various financial software and administrative responsibilities during staff shortages.
  • Providing backup assistance for accepting payments, front counter and telephone inquiries and all financial systems when required.
  • Other tasks as delegated by the Director of Corporate Services.

 

KNOWLEDGE, SKILLS AND ABILITIES

Knowledge:

  • Experience with Microsoft Great Plains/Diamond Municipal Software, Management Reporter and Questica Software.
  • Competent with Microsoft Office programs with a strong emphasis on Excel, Word, Access or related database software.
  • Ability to attend training courses, some of which may be out of town, when required.
  • Ability to work occasional weekends and evenings if required, specifically during Year End Processes and Annual Budget preparation.
  • Ability to handle sensitive information with professionalism and utmost confidentiality at all times.
  • Familiarity with Freedom of Information and Protection of Privacy Act.

SALARY

$58,000 to $73,000 annually
