Public Works Administrative Assistant

POSITION:    PUBLIC WORKS ADMINISTRATIVE ASSISTANT

Summary:

Reporting to the Director of Public Works, the Administrative Assistant is responsible for providing efficiency and effectiveness in key support and administrative processes for the department.  Working at the Public Works facility (4406 62A Ave), this employee must be very self-motivated, able to follow verbal and written instructions, prioritize tasks and work well independently. 

 

Hours of Work:

Monday to Friday, 8:00 a.m. to 4:30 p.m. 

Duties and Responsibilities:

  • Providing office support including answering phones, composing correspondence, data entry, photocopying, and customer service
  • Maintaining Parts Inventory, ordering supplies, and tracking purchase orders.
  • Ordering Equipment Rental Rates Guide and updating all Town owned equipment rates on an annual basis.
  • Conducting research and partaking in surveys related to the department.
  • Assisting with various financial duties for the department, such as budgeting, statistical reporting, and month end processes.
  • Obtaining Registration for new vehicles, ensuring Finance department is aware of any new items that need to be added to the Insurance Policy, or any items that need to be removed from the Policy
  • Assisting Safety Officer with the creation of Hazard Assessments, Job Procedures, Safe Work Practices, and other required safety documents.
  • Preparation of Joint Health and Safety Meeting Agendas, attending Joint Health and Safety Meetings and recording Minutes at the meetings.
  • Along with the Safety Officer, participation in Safety Inspections at various Town-owned facilities.
  • Along with the Safety Officer, participation in Formal Inspections and Toolbox meetings.
  • Entering and maintining data in GIS (Geographic Informtaion System)
  • Scheduling appointments and organizing meetings.
  • Other tasks as delegated by the Director of Public Works.

Knowledge, Skills and Abilities:

Knowledge

  • Competent with Microsoft Office programs, with a stong emphasis on Word and Excel or related publication software.
  • Has an understanding and general interest in safety practices, procedures and requirements, along with OH&S Regulations.
  • Ability to attend training courses when required.
  • Ability to handle sensitive and confidential information with professionalism.
  • Familiarity with Freedom of Information and Protection of Privacy Act (FOIP).

Skills

  • Has completed Safety Auditor Training or must be willing to complete upon employment.
  • Has completed the Joint Health and Safety Committee Training Course or must be willing to complete upon employment.
  • Self-motivator, able to work effectively on their own.
  • Strong interpersonal skills and ability to work within a team environment.
  • Provide excellent customer service to the public and staff.
  • Excellent organizational, written, and communication skills.
  • Personal Protective Equipment required while attending certain Town facilities, which may include Steel Toed Boots/Shoes, Safety Glasses, Gloves, Hard Hat or any other equipment that the Director of Public Works deems is necessary to complete tasks in a safe manner.

Salary:

Compensation based on experience and qualifications.
